AFA Annual Meeting Registration Policies

General Registration Policies
The policies outlined in this section apply to all Annual Meeting registration forms, including Attendee registration (full conference, single-day, and 50th Anniversary tickets), ICW registration, and Add-On Program registration.
Member Pricing
- To receive member pricing, individuals MUST be a member at the time of registration and have individual membership status at the time of the event.
- Refunds will not be provided to members if they become a member after registering for the Annual Meeting. Membership renewal or the difference in member/non-member pricing will be invoiced if membership is not secured by the registration deadline.
- To clarify, individuals are not considered members of AFA until their form of payment is received and processed. Member pricing will not be granted to individuals whose membership payments are still pending at the time of Annual Meeting registration.
- Once individuals have completed and submitted the AFA Annual Meeting registration form, they are considered registered regardless of payment status. Annual Meeting registrations are not transferable.
Transfer Policy
- Once individuals have completed and submitted the AFA Annual Meeting registration form, they are considered registered regardless of payment status. Annual Meeting registrations are not transferable.
- Registrations must be associated with an individual contact person. Registrations created as place holders (i.e. for an organization and/or future staff member or volunteer) will be cancelled.
Cancellation and No-Show Policies
- Cancellations made prior to November 6, 2026 will result in a refund of all but a $50 processing fee. Cancellations made between November 7, 2026 and November 20, 2026 will result in a refund of 50% plus a $50 processing fee. Cancellations made after November 20, 2026 are non-refundable.
- A registrant is considered a no-show if they do not participate in the Annual Meeting or if they have not notified AFA of their cancellation by the November 20 deadline. Refunds will not be granted for no-shows, and individuals will be held accountable for the cost of their registration if they are registered, even if they are a no-show and have not paid.
Late Payment Fee
- Attendees who select to pay by check or invoice must pay the balance of the invoice within 30 days or it may be subject to a late payment fee.
Single-Day Registration Tickets
- Single Day passes can only be purchased for one day. If individuals would like to attend the Annual Meeting for more than one day, AFA will invite them to purchase a full-time registration.
- Individuals who wish to take advantage of single-day registrations are encouraged to contact Gretchen Foran at gretchen.foran@fraternalexcellence.org.
Payment Policies
Outstanding Invoice Policy
- Any individual with an outstanding balance owed to AFA may have their Annual Meeting registration placed on hold or cancelled, and may be denied admittance to the Annual Meeting, until all outstanding balances are paid in full.
- Registration is not considered complete or guaranteed until all balances are resolved. Cancellation of a registration does not relieve the registrant of responsibility for any amounts already owed to AFA.
- AFA reserves the right to determine eligibility to register for or attend the Annual Meeting based on a registrant’s account status.
Bulk/Group Registration Process
- Organizations who wish to register five or more individuals from the same organization may take advantage of AFA’s bulk registration option. This is helpful for organizations who would like a single invoice for all Annual Meeting registrants in their group.
- To request bulk registration, please email a list of the number of attendees you would like registered, including their current AFA membership status to Gretchen Foran by the registration deadline. If you need AFA memberships verified please request this information in your email.
- Bulk Annual Meeting registration invoices must be paid within 30 days or they may be subject to a late payment fee. Please note that AFA is not able to process bulk membership renewals. We advise your attendees to ensure they renew/join before submitting a bulk registration request.
ICW Registration Policies
Adding Services after Initial Point of Purchase
- Organizations and individuals interested in hosting an ICW event are encouraged to carefully review the available rate options prior to registration to select the appropriate rate for their event and relevant services needed, including audio/visual (A/V) and amplified sound.
- If additional services (A/V and/or amplified sound) are requested after the initial point of purchase and are not included in the original rate purchased, AFA will add on services based on the difference between the rate purchased and the current rate inclusive of requested services.
Partnership with Educational Partners
I understand I will receive promotional messages from AFA Educational Partners and may unsubscribe from these emails at any time.
Photography and Publicity Release
I give the Association of Fraternity/Sorority Advisors (AFA), permission to use my name, likeness, image, voice, production credit amounts and/or appearance as such may be embodied in any pictures, photos, video recordings, audiotapes, digital images, and the like (collectively, “Media”), taken or made on behalf of the AFA Annual Meeting’s activities.
Code of Professional Responsibility
The Association of Fraternity/Sorority Advisors (AFA) has established a Code of Professional Responsibility that all attendees are expected to uphold. Full wording for the Code of Professional Responsibility can be found here.
